General policies & requirements
Deposit & contract
A 50% deposit and signed contract are required for booking. The final facility rental balance is due 30 days prior to the event.
Insurance
Client must purchase a certificate of insurance prior to the event that covers setup and event days, i.e. Friday and Saturday for a weekend reception.
Security
Security is required at all events and is arranged by us. Security is an additional charge.
Cancellations
In cases of cancellation up to 120 days prior to event, 50% of the deposit is refunded. The client is ineligible for a refund if cancellation is received within 120 days of the event.
Smoke-free Campus
We are a smoke-free campus. A designated smoking area is located along 150, beyond the north entrance.
Accessibility
All of our event venues are handicap accessible; no elevators to ride or stairs to climb.
Food & alcohol
Catering with Saint Mary-of-the-Woods Catering
Food and beverages, including alcohol, must be purchased through our catering partner. They will work within your budget to create a menu for your special occasion. Wedding and specialty cakes may be provided by other sources. Learn more about catering your event. Outside food is not permitted.
Alcohol policy
All alcoholic beverages must be purchased through our catering partner, Saint Mary-of-the-Woods Catering. Indiana state law prohibits the transport of alcoholic beverages onto the premises. Alcohol must be consumed within the confines of O’Shaughnessy Hall and the lobby.
Cakes
Specialty cakes or wedding cakes may be provided by other sources.
Decorations & signage
Decor
All rented or client-owned decor must be removed immediately following the event.
Audio-Visual
Visual presentations and other media must be received within 48 hours of the event.
Signage
Event and directional signage may be placed on the Avenue to assist your guests. Signage must be removed immediately following the event.
