The Sisters of Providence and the Ministry of the Woods are seeking an organized, detail-oriented Ministry Manager to join our team. If you excel in program coordination, operations management, office administration, and delivering exceptional hospitality and customer service, this role is for you. The Ministry Manager oversees event logistics, coordinates room reservations, and leads front desk operations to ensure efficiency and a welcoming environment for all visitors, retreat participants, and guests.
What You Will Do (Essential Duties)
Operations & Logistics: Oversee day-to-day operations of the Ministry of the Woods, including managing the welcome desk, tracking program statistics, and maintaining administrative systems.
Event & Program Coordination: Manage scheduling, lodging requests, program registrations, and room setups for workshops, retreats, field trips, and tours.
Team Leadership: Supervise the Hospitality Representative and welcome desk staff; collaborate closely with the Executive Director, Ministry Directors, and Environmental Services to maintain sacred spaces, including the Shrine of Saint Mother Theodore Guerin.
Campus Liaison: Coordinate with internal departments (Facilities, Food Services, IT, Security) to ensure seamless execution of campus events.
Financial & Office Support: Manage vendor invoices, track payments, submit check requests, order office supplies, and maintain office equipment.
What We Are Looking For (Qualifications)
Experience: Minimum of three years of experience in administration, hospitality, or logistics management.
Education: Bachelor’s degree preferred; High School diploma or GED required.
Technical Skills: Proficiency in Microsoft Office Suite and basic internet skills; familiarity with audiovisual/presentation equipment is a plus.
Core Strengths: Strong interpersonal, oral, and written communication skills; exceptional time management and ability to prioritize tasks in a bustling environment.

Physical Requirements & Work Environment
Ability to work in a busy office environment with regular interruptions.
Must be able to sit for prolonged periods, lift up to 25 pounds, walk up to 800 yards, climb stairs, and use a 3-step ladder.
Flexibility to work some weekends, evenings, and holidays as required by event scheduling.
