Director of Programs and Events

The Director of Programs and Events serves the mission of the Sisters of Providence and of the Ministry of the Woods (MOTW) by overseeing the planning, coordination, and implementation of programs and events.

These include programs, events, workshops, retreats, and experiences currently offered by the Sisters of Providence under the umbrella of the mission of the Ministry of the Woods.

Offerings are extensive and would include programs and events centered around topics such as spirituality, religion, the arts, nature, eco-justice, history, sustainability, fiber arts, cooking, farm life and wellness.

The purpose of these programs and events is intended as a way for people of all ages, faith traditions and cultures to gather, learn, meet and share in the charism of Providence.

Currently, Providence Spirituality & Conference Center, including the Shrine of Saint Mother Theodore Guerin, and White Violet Center provide the main impetus for programming.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Works with a Program Coordinating Committee which will advise and assist in developing program initiatives while also regularly assessing current offerings.

Plans and implements programs, events, retreats, workshops and experiences offered by the Sisters of Providence under the umbrella of the mission of the Ministry of the Woods.

Helps identify speakers, facilitators and presenters for programs and retreats. Coordinates and communicates with them leading up to their program or retreat.

Coordinates retreats offered by the Ministry of the Woods.

Facilitates all requests for private and/or group retreats and works with the appropriate staff and departments.
Works with the reservationist to coordinate lodging, meal requests, etc.

Arranges spiritual direction/guidance during the retreat if requested.

Participates in the creation of the annual programming budget with the input of stakeholders in the ministries and Mission Advancement. Helps to oversee the implementation and management of the budget.

Collaborates with the Director of Shrines to give special attention to the development of offerings of the Shrine of St. Mother Theodore Guerin and the National Shrine of Our Lady of Providence.

Collaborates with the WVC Director of Operations and the WVC Ministry Outreach Manager to manage current offerings and experiences while exploring the addition of new offerings.

Collaborates with Mission Advancement to achieve marketing and communication goals. Provides detailed information about programs in a timely manner so that events and programs can be appropriately marketed. Works with the Marketing Department to create content and materials that support program and event offerings.

Provides regular reports to stakeholders that detail program attendance. Works with the Central Business Office to make sure all expenses and revenue are properly tracked so that reports are accurate.

Creates and implements attendance surveys to measure the impact of our programs and events. Compiles the data from these surveys to help identify areas to improve. Shares the data with other stakeholders and gives their recommendations based on their findings.

Participates in ministry meetings as needed for both PSCC and WVC so they can stay informed about what is happening in the ministries and develop relationships with both teams.

Communicates with the campus retail manager to ensure the campus stores carry inventory that support the programs being offered, as appropriate.

Collaborates with the Coordinator of Volunteer Services as needed for special events.

Works with designated staff members to monitor registration status and communicate this information to the appropriate stakeholders.

EDUCATION AND EXPERIENCE

Bachelor’s degree preferred.

Knowledge of Microsoft Office and basic computer skills.

Educational background in theology, spirituality, eco-justice or another related field is strongly desired.

Experience in planning and running programs as well as general administration and strategic planning experience.

Comfortability with virtual technology platforms to be able to provide accessibility to programs.

Ability to meet the needs of diverse and multiple constituencies.

High degree of independence in prioritizing and implementing activities.

Flexible and able to handle multiple tasks at once.

Ability to create, monitor and maintain fiscal budgets.

Must be available to work occasional weekends.

WORKING CONDITIONS

This is a full-time salaried position, averaging 40 hours per week, and potentially involving some weekend and evening hours. Work schedule will fluctuate for special occasions or with staffing needs.

Light carrying or lifting may be required.
